SignalHRM Cancellation Policy


SignalHRM is a subscription-based HRMS solution with charges calculated on a per employee, per month basis. Below is the detailed cancellation policy tailored to ensure clarity and fairness for all our clients.


1. Subscription Payment Terms

  • Subscriptions are billed monthly or annually based on the selected plan. Charges are calculated on the agreed number of active employees (minimum guarantee) provided during onboarding.
  • Payments for all plans are due in advance for each billing cycle and are non-refundable.

2. Cancellation of Subscription

  • Clients may cancel their subscription at any time by providing written notice via email to support@signalhrm.com.
  • Cancellation will take effect at the end of the current billing cycle. Clients will retain access to SignalHRM services until the end of the billing period. After this period, all client data will be archived in accordance with our Data Retention Policy.

3. Annual Subscription Cancellations

  • Annual subscriptions can be canceled on a pro-rata basis, with a deduction for the period of use at the monthly rate, plus a nominal penalty charge.
  • Refunds for annual plans will be calculated and processed within 30 days of cancellation.

4. Downgrading Employee Count

  • Clients cannot reduce their active employee count below the minimum guarantee agreed upon during onboarding
  • The minimum subscription charges will remain applicable even if the employee count decreases below the agreed minimum during the billing cycle.

5. Non-Payment and Account Suspension

  • Accounts will be flagged for suspension if payments are not received within 15 days of the due date.
  • If the account remains unpaid for 30 days, services will be terminated, and data will be archived or deleted in accordance with our policy.
  • Reactivation of suspended accounts will require payment of outstanding dues and a reactivation fee.

6. Refund Policy

  • SignalHRM does not provide refunds for:
    1. Unused subscription duration for monthly plans.
    2. Reductions in employee count within the billing period.
  • Refunds for annual plans will be considered on a pro-rata basis, with deductions for usage and applicable penalties.

7. Data Retention and Access Post-Cancellation

  • After cancellation, clients will retain access to their account and data until the end of the current billing cycle.
  • Once the billing cycle ends, data will be archived for 60 days, after which it may be deleted.
  • Extended access or data retrieval requests beyond this period may incur additional charges.

8. Service Termination by SignalHRM

  • SignalHRM reserves the right to terminate services for reasons such as non-payment, misuse, or violation of terms.
  • In such cases, no refunds will be provided, and clients will need to clear outstanding dues to access their data.

9. Force Majeure

SignalHRM is not responsible for service interruptions or cancellations caused by events beyond our control, such as natural disasters, technical failures, or legal regulations.


Acceptance of Policy

By subscribing to SignalHRM, clients agree to this cancellation policy. SignalHRM reserves the right to update this policy with prior notice to clients.
